About You

You thrive on interacting with a wide range of people - from scientists to supply vendors and investors - and people love interacting with you, too.  You are detail oriented, are able to adapt quickly and multitask when necessary, and are not intimidated by new challenges since you know you are a fast learner. You welcome the opportunity to really make a difference to the company, and thrive on coming up with solutions to problems and implementing them.  


In particular, you will:

  • Be responsible for the office and lab running smoothly, as your role requires that you will have a role in many different areas of the operation of Brightseed, working with the entire team.

  • Support the Accounting team in closing the books every month by confirming payments and invoices.  Ensure departmental financial budgets by scheduling expenditures, initiating corrective actions by working with management.  Interface with banks, vendor business accounts, bill payment platforms, and credit card providers as needed. Maintain purchase order, shipping and invoice files.  

  • Manage scheduling and logistics for candidate interviews, including travel, accommodations, scheduling interviews and presentations with the team.

  • Facilitate on-boarding of new employees, including new hire orientation, benefits and payroll.  Address employee benefit questions and resolve issues that arise.

  • Be responsible for scheduling and booking team travel - domestic and international travel - including air fare, accommodations. Update travel files to remind employees of passport and visa requirements.

  • Maintain office efficiency by organizing office systems and operations, designing filing systems, layouts, equipment procurement including office furniture, computers for the team, keeping management informed by reviewing all aspects of operations.

  • Coordinate, label and track all fixed assets.

  • Coordinate the centralized purchasing system that is used for both lab and office supplies, equipment, team expenses.  Train team members to use the procurement software platform, work with procurement vendor on software updates. Process all documentation and review approvals of purchases thru the system.

  • Set up and maintain video conferencing system.

  • Oversee office cleaning schedule;  order office supplies.

  • Maintain kitchen area;  order supplies.

  • Annual off-site meeting planning and execution.

  • Be available for additional needs as they arise.

  • This role will report to the COO.


Requirements

  • Experience in office/lab management or similar multi-faceted role in HR or a services industry.

  • Strong oral and written communication skills.

  • Experience in the following platforms helpful:  Zoom, Bill.com.

  • Self-starting, entrepreneurial orientation a must.
